What is GearDex?
GearDex is a management app built for photographers and videographers: it keeps an inventory of gear with serial numbers, value and receipts, helps plan shoots and includes a portfolio site, client galleries and a small CRM. It runs in the browser and on Mac and is developed by Dylan Andersen, an independent developer based in California.
What sets it apart from a simple spreadsheet is Iris, the built-in AI assistant, which knows the registered kit and answers natural-language questions: which lens fits a camera body, which filter is needed, how much the gear is worth today. AI is a feature inside the management app, not the main product.
Main Features
- Inventory with Smart Add: quick gear entry and CSV import
- Value and warranties: kit value, warranty dates and an insurance-ready PDF
- Iris assistant: questions about your kit, mount and filter compatibility, prices at specialist retailers
- Loans with QR labels: always know who borrowed what and when it is due back
- Shoot planning: shot lists and call sheets
- Site, galleries and clients: portfolio, shareable galleries, CRM and bookings
How Does GearDex Work?
You register your gear once, including by importing a spreadsheet or reading receipts, and GearDex calculates the total value and tracks warranties and loans. For each job you create a shoot with a shot list and the gear to bring; when the work is done you deliver the photos through a client gallery.
Iris works on the data you entered: you can ask "what should I bring for a low-light church wedding?" or "which of my lenses takes a 77 mm filter?". It uses NVIDIA AI models and, when needed, web search; the number of AI actions depends on the plan.

Pros and Cons
Pros:
- Built specifically for photographers and videographers
- AI assistant that works on your actual kit
- Very affordable Pro plan when billed annually
Cons:
- Built by a single developer, with no company behind it
- English-only interface and US retailer prices
- App for Mac only, no Windows or mobile version beyond the web
Final Verdict
GearDex is a good choice for anyone with a lot of gear still managed in spreadsheets and notes. The free plan is enough to try it with your main kit and the annual Pro plan is cheap; Iris is a real bonus rather than the core of the product. Studios with several people can consider the Studio plan to handle clients and invoices as well.
